# License Management

**Where to find it:** Sidebar → Settings → License Management

**Only School Admins can purchase and manage licenses.** Teachers can open this page to check the current balance and understand the rules, but will see a message to contact their administrator for any purchases.

### Understanding the two things you're managing

Before anything else, it's important to understand that your school's access to the platform has two separate parts:

#### 1. Base License

This is your school's annual subscription to the RealLives platform. It gives everyone at your school access to the simulator, assignments, RealBoard, RCMI reports, and everything else on the platform.

* Valid for **1 year** from the date of purchase
* Aligned to your school's academic year
* **Does not include gameplay credits on its own** — you need to buy those separately

#### 2. Life Credits

These are the currency your students use to play lives on the platform. They come from a **single shared pool** across your whole school — there's no fixed allocation per student.

* Credits are purchased separately as **credit packs**
* The pool is shared by all students and teachers at your school
* Credits **do not expire** as long as your base license is active
* Unused credits **roll over** when you renew — you don't lose them at the end of the year

Think of it this way: the Base License is the door to the platform, and Life Credits are what your students spend once they're inside.

### What uses credits?

| Action                                                     | Credits used     |

| A student plays a life **past 10 years** in the simulation | 1 credit         |
| A life ends at or before 10 years                          | 0 credits (free) |

This means short early-ending lives don't cost anything. Credits are only used once a student's simulated life goes beyond 10 years.

**Planning tip:** Many schools plan around roughly 20 lives per student per year — about 2 per month. Use this as a starting point when deciding how many credits to buy.

### Credit rollover — how it works

This is one of the most important things to understand about the credit system.

| Situation                                     | What happens to your credits                                                                          |
| --------------------------------------------- | ----------------------------------------------------------------------------------------------------- |
| You **renew your base license** on time       | Unused credits carry forward into the next year automatically                                         |
| Your **base license expires** without renewal | Credits are frozen — not lost, but not usable until you renew                                         |
| You **renew after expiry**                    | Frozen credits are restored — you do not need to buy new credits just to unlock your existing balance |

**Example:** Your year ends with 500 credits remaining. You renew the base license. Those 500 credits are still there and ready to use in the new year without any additional purchase.

### Three states you might see

#### State 1 — No active license (first time or after expiry)

If you're setting up for the first time, or your license has lapsed, you'll land on a purchase screen.

You'll see:

* A **Base License card** showing the annual price and what's included
* **Credit Pack options** (Starter, Growth, Impact — varying credit amounts and prices)
* A **Purchase & Activate License** summary panel on the right showing your total
* Trust reminders: credits roll over with renewal, no per-student cap, buy more anytime

You can buy the Base License and a Credit Pack together in one checkout.

**Payment options:**

* **India:** Razorpay (INR)
* **International:** PayPal

Once payment goes through, your page will refresh to show your active license and your credit balance will appear in the top bar.

**Note for schools on a Legacy License:** If your school was on the old license system, new purchases will be locked until your legacy license expires. You'll see the remaining count and expiry date on screen.

#### State 2 — Active license (your main day-to-day view)

Once your license is active, this page becomes your control centre for monitoring and managing everything.

**License status bar**

At the top you'll see:

* Your license start and end dates
* How many days are remaining
* If you've already scheduled a renewal, it will show the next license period here too
* A **warning banner** appears when you have 7 days or fewer left, with a direct **Renew Now** button

**Credits panel**

| What it shows               | What it means                                                        |
| --------------------------- | -------------------------------------------------------------------- |
| **Credits Available**       | Your current spendable balance — this is the number to watch         |
| **Total Credits Purchased** | Everything ever added to your pool, including boosters and rollovers |
| **Credits Exhausted**       | Total used so far (lives past age 10)                                |
| **Credit History** button   | Opens a full log of every credit spent                               |

If your balance drops very low (5 or fewer credits), a red warning banner will appear urging you to buy a booster pack.

**Credit Control Centre**

Two key actions are available here:

**Renew License** Opens the renewal flow. You can renew early — the new license period will be scheduled to begin after your current one ends, so there's no gap and no overlap. Your unused credits will carry forward automatically.

**View Invoices** Opens a full payment history with the ability to view and download individual invoices as PDFs.

**Booster Credit Packs**

Scroll down on the active license page to find the booster section. This is where you buy additional credits mid-year if your school runs low.

* Browse the available pack sizes
* Click a pack to select it — the right panel shows your subtotal and total due
* Pay with PayPal or Razorpay
* Your Credits Available balance updates immediately after payment

#### State 3 — Expired license

If your license has expired, you'll see:

* An **Expired License** banner with your previous dates
* A **Renew License** button
* A clear message: your credits are frozen but not lost — they'll be restored the moment you renew
* Your previous credit balance is still shown for reference

Simply renew your base license to restore access and unlock your frozen credits.

### Buying a license — step by step

#### First time (no license yet)

1. Open **License Management**
2. Review the Base License price for the year
3. Choose a Credit Pack from the options shown
4. Check the **Purchase & Activate License** summary — confirm the base and credit pack amounts and the total due
5. Pay with PayPal or Razorpay
6. Wait for the success message: *"Payment successful. Your subscription is now active."*
7. Your page refreshes to the active license view and your credits appear in the top bar

#### Buying a booster mid-year

1. Open **License Management**
2. Scroll to the **Booster Life Credit Packs** section
3. Click a pack to select it
4. Review the total in the right panel
5. Click **Buy Now** or **Pay with PayPal**
6. Your Credits Available balance increases immediately

### Credit History

Click **Credit History** on the active license page to see exactly where your credits have gone.

Each entry shows:

* The student's character name, age, country (for lives)
* The date it happened
* How many credits were used (1 for a life)

This is different from your **Invoices** — Credit History shows what you've spent credits on, while Invoices show what you've paid money for.

### View Invoices

Click **View Invoices** in the Credit Control Centre to see your full payment history. You can download an invoice as a PDF by clicking on View Invoice.

Each row shows:

| Column          | What it tells you                               |
| --------------- | ----------------------------------------------- |
| Date            | When the purchase was made                      |
| License Type    | What was purchased                              |
| Purchase Type   | New subscription, credit pack, or both together |
| Credits Granted | How many credits were added                     |
| Amount          | What was paid                                   |
| Status          | e.g. Completed                                  |
| View Invoice    | Opens a downloadable PDF invoice                |

The PDF invoice includes your organisation's billing details, line items (base license, credit pack, applicable taxes), and an invoice number. In India, GST is shown as SGST and CGST at 9% each.

Note: The **View Invoice** button only becomes active once a payment is fully completed.

### What's included in your license

All plans include access to the full platform — there are no hidden add-ons:

* **RealLives Simulator** — lives across 193 countries, SDG-linked experiences
* **RealLives ChangeMaker Index (RCMI)** — 18 competency areas, personalised reports
* **Empathy Canvas** — student reflection on life moments
* **RealBoard** — school collaboration and reflection network
* **Real AI** — in-experience assistance for students
* Full assignment creation, lesson plans, classroom workflows, and school analytics

### The credit balance in your top bar

While your license is active, you'll see a button in the top navigation bar showing something like **"1,960 life credits available"**. That number is your school's current remaining credit pool — the same figure shown as **Credits Available** on this page. It updates in real time as credits are used or purchased.
